CLASS TITLE: Library Services Assistant
DESCRIPTION OF BASIC FUNCTION AND RESPONSIBILITIES
To perform a variety of office/clerical duties involving circulation, reference, and record-keeping activities within the Professional Library of the Santa Clara County Office of Education. Employees in this classification receive general supervision within a framework of standard policies and procedures. This job class provides responsible office/clerical support functions in the day-to-day operations of the professional library.
ESSENTIAL TYPICAL DUTIES
Performs general office/clerical support duties such as responding to telephone inquiries, filing, or sorting and disseminating mail
Operates a variety of office equipment including a computer, copier, fax machine, printer, calculator and other peripheral equipment
Provides general assistance to patrons in circulation services, locating library materials or directing patrons to appropriate areas for retrieval of needed materials and information
Answers questions regarding basic reference materials, procedures, and use of library equipment and facilities
Performs circulation activities such as checking library books and materials in and out; prepares claims for missing issues; maintains circulation records, files, and logs
Prepare books and a variety of instructional materials including software for shelving by stamping with property stamp, labels, and barcodes
Duplicates magazine/journal articles; routes periodicals and articles to office staff as requested
Maintains files and records of library transactions, circulation, overdue materials, publisher catalogs, pamphlets, and other materials; and prepares routine reports
Processes interlibrary loans; submitting appropriate request form, receipt, notifying requesting patron, and returning item
Prepares a variety of correspondence, forms, letters, and including cards, lists, memorandums and bibliographies
Enters records relating to library/media materials into databases as assigned
Inventories office and other supplies
Prepares and mails notification of past due materials/books
May assist in preparing for presentations
Assists other library staff in setting-up displays and bulletin boards
Shelves library materials using Library of Congress Classification System
Performs related duties as required.
EMPLOYMENT STANDARDS
Knowledge of:
General library circulation processes and public services
Standard library terminology and methods including basic reference, shelving, filing, and circulation methods and techniques
Standard office procedures, practices, and methodologies
Standard office, library, and audio-visual equipment
Proper English grammar, usage, and spelling
Ability to:
Communicate effectively both in oral and written form
Use standard office, library and audio-visual equipment
Keyboard/type accurately at a rate sufficient for successful job performance
Perform basic mathematical calculations using addition, subtraction, multiplication, and division
Establish and maintain a variety of record-keeping and filing systems
Operate standard office equipment including typewriter, calculator, copier, microcomputer fax machine, printer, and other peripheral equipment
Prepare routine reports and correspondence
Learn Library of Congress Classification system and shelving order
Establish and maintain effective work relationships with those contacted in the performance of required duties.
TRAINING AND EXPERIENCE
Generally, required knowledge and abilities will have been acquired during at least one year of clerical experience in a library or resource center.
BARGAINING UNIT: Office, Technical, and Business Services (OTBS) Unit
WORKING CONDITIONS: Duties are performed in a library or office environment with constant interruptions.
PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit; repeat the same hand, arm, and finger motion to operate desktop computer equipment; and talk and hear. The employee is occasionally required to stand or walk. The employee must frequently push or pull up to 25 pounds such as boxes of books. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus.
