CLASS TITLE: Library Resource Assistant
DESCRIPTION OF BASIC FUNCTION AND RESPONSIBILITIES
To perform specialized and technical library work related to circulation, reference, serials, and record-keeping activities within the Library Services Unit of the Santa Clara County Office of Education. Employees in this classification receive limited supervision within a framework of standard policies and procedures. This job class provides responsible office/clerical support functions in the day-to-day operations of the library.
ESSENTIAL TYPICAL DUTIES
Performs circulation activities such as checking library books and materials in and out; prepares claims for missing issues; maintains circulation records, files, and logs
Develops procedures and databases for the routing of journals to COE staff
Maintains, and updates a variety of records and files related to library operations and inventory, including budgetary/financial records, purchase orders, usage reports, and circulation data
Performs general office/clerical support duties such as responding to telephone inquiries, filing, or sorting and disseminating mail
Provides general assistance to patrons in circulation services, locating library materials or directing patrons to appropriate areas for retrieval of needed materials and information
Answers questions regarding basic reference materials, procedures, and use of library equipment and facilities
Prepare books and a variety of instructional materials for shelving by stamping with property stamp, labels, and barcodes
Duplicates magazine/journal articles; routes periodicals and articles to office staff as requested
Compiles, edits, updates, and distributes bibliographies
Establishes, designs and updates a variety of library procedures and forms
Orders materials, supplies and equipment upon approval; maintains records of purchase orders; invoices and expenses to date, and inventories and logs same as they arrive
Maintains, compiles, prepares, and submits attendance records and reports for payroll processing purposes
Arranges and schedules a variety of meetings; notifying participants, confirming dates and times, reserving meeting sites, and preparing materials needed at the meetings
Operates standard office equipment including a microcomputer, typewriter, calculator, fax machine, copier, printer, and other related peripheral equipment
Effectively uses word-processing, database, and spreadsheet software application programs in the course of assigned duties
Prepares and/or types a variety of correspondence and reports related to assigned functions
Prepares and mails notification of overdue materials/books
May assist in preparing for presentations
Shelves library materials using Library of Congress Classification System
Performs related duties as assigned.
EMPLOYMENT STANDARDS
Knowledge of:
General library circulation processes and public services
Standard library terminology and methods including basic reference, shelving, filing, and circulation methods and techniques
Standard office equipment, procedures, practices, and methodologies
Library and audio-visual equipment
Proper telephone techniques
Proper business letter formats, report writing, record keeping, and filing systems
Word processing, database, and spreadsheet software applications
Proper English grammar, usage, and spelling
Effective recordkeeping practices and procedures
Ability to:
Communicate effectively both in oral and written form
Keyboard/type accurately at a rate sufficient for successful job performance
Understand and carry out a variety of oral and written instructions
Perform mathematical calculations accurately
Establish and maintain a variety of records and filing systems
Prepare a variety of interoffice communications, correspondence, requisitions, forms, statistics, curriculum projects, instructional materials, specifications, and reports of a routine or special nature
Operate standard library and office equipment including typewriter, calculator, copier, microcomputer, fax machine, printer, and other peripheral equipment
Learn Library of Congress Classification system and shelving order
Research and compile subject bibliographies
Establish and maintain effective work relationships with those contacted in the performance of required duties.
TRAINING AND EXPERIENCE
Generally, the required knowledge and abilities will have been acquired through a combination of training and experience equivalent to at least two years of increasingly responsible paraprofessional experience in a library or media center.
BARGAINING UNIT: Office, Technical, and Business Services (OTBS) Unit
WORKING CONDITIONS: Duties are performed in a library and office environment; constant interruptions; some positions may include prolonged usage of desktop computer equipment.
PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a desktop computer; hearing and speaking to exchange information in person and on the telephone; seeing to read a variety of materials; sitting or standing for extended periods of time; lifting, pushing, carrying, pulling moderately heavy objects or book carts; bending at the waist, kneeling, or crouching; and reaching overhead, above the shoulders and horizontally to reach materials.
